The Vehicle Time Sheets report shows each vehicle's working day: when it first moved, when it last stopped, how long that span was, how much of it was spent driving, and how far it went. Use it to check hours, see which vehicles went out and which stayed parked, and back up timesheets or payroll with what the vehicle actually did.
Applies to: the Hapn web app at app.gethapn.com and the Hapn mobile app.
Open it
- On the web: go to Reports and select Vehicle Time Sheets under Asset Reports.
- In the mobile app: open the menu, then Reports → Vehicle Time Sheets.
It opens on Today. You can also pick Yesterday, This week, Last week or a Custom range.
Times are shown in each vehicle's own time zone, which appears under its name (for example EST or PST). A vehicle in California shows California times.
One day: the daily view
With a single day selected (Today or Yesterday), each vehicle gets one row:
- Start — when it first started moving that day.
- End — when it last stopped.
- Total — the time from Start to End.
- Driving — the time actually spent driving within that span.
- Distance — how far it went.
- Flags — for example After hours, for trips outside your business hours (see below).
A vehicle that didn't move shows Parked all day. One whose tracker sent nothing shows No reports (Silent all day) — see My Tracker is Offline if that's unexpected. The bottom row totals Total, Driving and Distance for the fleet.
The tiles across the top show how many vehicles Moved (and how many were parked all day), the Earliest start and which vehicle it was, how many are In progress (still out), and how many have No data. The tabs — All, In progress, No data, Parked all day — show just that group, and Find assets searches by name.
Several days: the weekly grid
With a range of more than one day (such as This week or Last week), the report becomes a grid: one row per vehicle and one column per day. Each cell shows that day's start and end times (for example 8:53 AM – 3:30 PM) with the total underneath, or Parked or No reports.
At the end of each row, Range total adds up the vehicle's daily totals and Days moved shows how many days it went out (for example 6 of 7). The tiles show the Earliest start and Latest end across the range, with the vehicle and day.
See one vehicle's day in detail
Select a vehicle's row (or a day in the weekly grid) to open its Daily time sheet: Start, End, Total, Driving (with the number of trips) and Distance, then every trip and stop in order — where it went, when it arrived and left, how long it stayed, the distance and top speed of each trip, and any of your places it stopped at. From there, Open in Trips takes you to the trip list and Replay on map plays the day back.
Report options
Open Filters to narrow the vehicles by Tags, User groups, Asset profile status or Asset. Under Report options in the same panel:
- Weekdays only hides Saturday and Sunday from the grid and the totals.
- Decimal hours shows durations as 8.25 h instead of 8h 15m, on screen and in exports — handy for payroll.
- Business hours shows whether your organization's business hours are set.
Columns lets you hide or reorder columns: Start, End, Total, Driving, Distance and Flags for a single day, or Range total and Days moved for a range. Reset puts everything back.
After-hours flags
Trips outside your organization's business hours are flagged After hours. If business hours aren't set, a banner at the top of the report says After-hours flags are off and nothing is flagged. To turn them on, an admin sets business hours in Settings → Organization Platform Settings — see Setting Your Organization's Business Hours.
Export, schedule and ask Scout
- Export CSV downloads what you're looking at.
- Schedule emails the report to you or your team on a regular cadence — for example last week's time sheets every Monday morning. See How to Schedule a Report by Email.
- Explore with Scout lets you ask questions about the figures, such as which vehicle started earliest this week.
