Any report can be emailed to people on a schedule — daily, weekly, monthly or quarterly — so the numbers arrive without anyone having to log in and pull them. Recipients don't need a Hapn account.
Applies to: the Hapn web app at app.gethapn.com. Reports are not available in the mobile apps.
Schedule a report
- Select Reports in the left sidebar and open the report you want.
- Set the report up the way you want it sent — the date range, Filters and Columns are all worth getting right first.
- Select Schedule at the top right.
- Fill in the panel that opens:
- Name — this becomes both the name of the scheduled report and the subject line of the email, so write it for the person receiving it.
- Message — included in the body of the email, up to 1,000 characters. This is required, so use it to say what the report is and what to do with it.
- Recipients — one or more email addresses, separated by commas.
- Choose a Frequency (see below) and a Time of Day.
- Select Schedule Report.
Frequency options
- Daily — every day at the time you choose.
- Weekly — pick the days of the week you want it on. You can tick more than one, so a Monday-and-Thursday send is fine.
- Monthly — choose a specific day of the month, the first day of month, or the last day of month. First or last is the safer choice if you want it every month without worrying about short ones.
- Quarterly — for reports you only need every three months.
Time of day and time zone
All send times use your organization's time zone, which is shown in the panel — not each recipient's local time. The default send time is 02:00 AM, which is usually what you want: the report is waiting when people start work.

See and manage your schedules
Go to Reports and select the Scheduled Reports tab at the bottom of the page, beside Custom Reports. Each row shows the schedule name, when it was created, its frequency, and the recipients — so it's easy to spot a report still going to someone who has left.
The list doesn't show which report a schedule was built from, so give schedules names that say what they are. Weekly idling – East depot is easier to live with six months from now than Test Report.
Edit a schedule
- On the Scheduled Reports tab, select the … menu at the right-hand end of the row.
- Select Edit.
- Change the Name, Message, Recipients, Frequency or Time of Day, then select Update Schedule. Cancel closes the panel and leaves the schedule as it was.
Editing changes how the report is delivered, not what's in it. There is nothing here for the report's date range, Filters or Columns — if the email needs to contain different data, open the report, set it up the way you want it, and schedule it again.
Delete a schedule
Use the same … menu and select Delete.
Deleting is the only way to stop a scheduled report — there is no pause or disable switch. If you only want to stop the emails for a while, you'll need to delete the schedule and set it up again when you want it back.
It's worth reviewing this list every so often. A scheduled report keeps arriving in people's inboxes until somebody deletes it.
