How to Build a Custom Report – Hapn Help Center

If none of Hapn's built-in reports shows quite what you need, build your own. A custom report lets you pick a data source and choose exactly which columns appear, then save it to your account to run again whenever you like.

Applies to: the Hapn web app at app.gethapn.com. Reports are not available in the mobile apps.

Build a custom report

Select Reports in the left sidebar.
Scroll to the Custom Reports section at the bottom of the page and select Create Custom Report.

The builder walks through three steps.

1. Report details

Give the report a Report Name and a Report Description — both are required — then choose your data source. There are three:

Trackers & Assets — details about your trackers including status, position, battery level and device information.
Places — information about your places including total asset count inside, and most recent entries and exits.
Trips & Stops — details about your activity including trips and stops.

Choose the source carefully — each one offers its own set of columns, so the source decides what you can put in the report. Select Continue.

2. Choose columns

Pick the columns the report shows, in any order. Columns are grouped, each group has a Select all, and there's a search box if you know what you're after. A counter at the top keeps track — for example "6 of 49 columns selected".

With Trackers & Assets as the source, the groups are:

Tracker information — tracker name, IMEI, device type, reporting mode
Tracker status — last update, coordinates, tracker location, ignition status, tracker status
Power — battery percentage, external voltage
Asset information — name, category, type, make, model, year, serial number, asset status
Work orders — upcoming work order, due date, assigned to
Completed work order — completed work order, completion details, completed by, total cost, completion location
Asset telematics — utilization, fuel level, engine work time, ignition status, DTC fault code, total odometer, engine temperature, engine oil level, engine RPM, VIN, check engine light status, active hours
DTC Fault Codes (Detailed) — DTC code, active since, total days active
Trips and stops — trip type, starting and ending address, starting and ending date, distance, duration

Select Continue when you're done, or Back to change the source.

3. Review and save

You get a preview built from real sample rows, with a count such as "1 column, 5 sample rows", so you can check the report looks right before committing to it. If something's off, use Back. Otherwise select Save Report and it's added to your account.

Selecting Cancel at any point asks you to confirm — an unsaved report is discarded and lost.

Two things worth knowing before you pick columns

Asset telematics values are not all live. Values that don't have a single current value show the total from the past 7 days.
DTC Fault Codes (Detailed) changes the shape of the report. Choosing anything from that group produces one row per fault code instead of one row per asset — an asset with 5 active codes appears on 5 rows, each with that code's details. Useful when you want the codes themselves; surprising if you expected one line per machine.

Finding your saved reports

Saved reports are listed under Custom Reports at the bottom of the Reports page, showing who created each one, when it was created, when it was last updated and when it was last opened. The Scheduled Reports tab beside it holds reports set to run on a schedule.
