Customer ETA texts your customer a link that shows your vehicle on its way to them, with a live arrival estimate. When the vehicle arrives, the link stops sharing its location. It's built for service businesses that want to stop fielding "when will they get here?" calls. (It used to be called Customer Link.)
Applies to: the Hapn web app at app.gethapn.com and the Hapn mobile app (version 8.2 and later).
Send an ETA
On the web
- Select Customer ETA in the left sidebar, then Share ETA at the top right. You can also start from a vehicle: on the Live Map, select the asset, open the ⋯ menu on its card and choose Share ETA.
- Under Customer, enter the customer's Mobile number. The ETA link is texted to this number.
- Optionally, add a Job address — an address or one of your places. Without an address the customer gets no ETA, just live tracking of the vehicle.
- Under Tracker, check the Vehicle. Hapn suggests one; pick another from the list if needed. Trackers that are already on a job show as Unavailable · already on a job. The route starts from wherever the vehicle is when the job begins.
- Select Share ETA.
On the mobile app
Tap Menu → Customer ETA, then the + button at the top right. The form is the same as on the web — mobile number, optional job address, and vehicle — then tap Share ETA.
What your customer sees
The link opens a page branded with your business name and logo, showing:
- The status — On the way or Arrived — and the vehicle on a map.
- An arrival window (for example Arriving 18–34 min) and an ETA time, when you added a job address.
- Call and Text buttons to reach your business.
- An Anything the driver should know? prompt, so they can text over a gate code, parking or pet details.
- A note that the live location expires after arrival.
Once the vehicle arrives, your review and payment links appear on the page, if you've set them up.
Set up your customer page
Open Customer ETA → Settings (on the web or the mobile app). You can set:
- Logo and Brand color
- Display name — the business name your customer sees
- Business phone — used by the Call and Text buttons
- Review link and Payment link — shown after arrival
The preview beside the settings switches between On the way and Arrived so you can check both. Select Save changes when you're done.
Keeping track of jobs
Every ETA you send creates a job. The Home tab gives you the overview:
- Needs attention — jobs off track right now, such as Not reporting, ETA late or Rule violation.
- Links sent this week, Jobs this week, Avg time on site and Repeat customers (customers sent a link 2 or more times).
- ETAs shared over the last 8 weeks, with how many were opened.
- Sharing live — jobs whose ETA link is active right now.
- Activity — job created, link sent, customer opened the link, arrived.
The All jobs tab lists every job, filtered by Needs attention, In Progress or Completed, and searchable by name, job number or tracker. Each row shows the status (such as En route or Complete), tracker, route, scheduled time, ETA or time on site, and the link's state (Sharing, Opened or No link).
Select a job to open it: its scheduled start, the customer ETA, the tracker and route, and a Documents area where you can upload files (PDF, DOC, XLSX, PNG or JPG, up to 25 MB). Actions lets you rename or delete the job.
While a vehicle is on a job, its card on the Live Map shows an On Job pill.
Customer ETA or a Live Link?
- Customer ETA — one customer, one job: a branded page with an arrival estimate that stops sharing once the vehicle arrives.
