A user group controls what a set of people can see and do in Hapn. A group bundles people together with specific trackers and places, and its members work within that slice of your account rather than the whole thing. Build a group like Drivers or North Yard and manage its access in one place instead of person by person.
Groups are the right tool when you want a sub-set of your organisation — a crew, a yard, a customer, a subcontractor — to see only their own equipment. If instead you want to change what an individual can do account-wide, that's their role in Settings → Team.
Applies to: the Hapn web app at app.gethapn.com. You'll need admin access to Settings.
What's in a group
Every group holds three kinds of thing, each on its own tab when you open the group:
- Users — the people in the group, listed by name and email address.
- Devices — the trackers associated with the group.
- Boundaries — the places or geofences associated with the group.
The group list shows a count for each, so you can see at a glance that drivers has 2 users, 1 device and 1 boundary without opening it.
Create a group
- Go to Settings → User Groups.
- Select Add Group.
- Give the group a name, then add users, devices and boundaries to it.
Edit a group
- Go to Settings → User Groups.
- Select the ⋯ menu at the end of the group's row, then Edit.
- Change the Group name and select Save, or switch between the Users, Devices and Boundaries tabs to change what's in it.
- Use Add Users to add someone, or the bin icon beside a row to take them out of the group.
Removing someone from a group doesn't delete their Hapn account — it only takes them out of that group. To remove a person from your account entirely, use Settings → Team.
Delete a group
Select the ⋯ menu on the group's row and choose Remove. This deletes the group, not the users, trackers or boundaries inside it.
Groups and individual users
There are two separate controls, and they answer different questions:
- Role (Settings → Team) — what a person can do, account-wide.
- Group (Settings → User Groups) — which trackers and places a set of people can see.
If you're setting someone up for the first time, start with Team to get them onto the account and give them a role, then add them to whichever groups they belong in.
