A role decides what a person can do in Hapn. Every user on your account has one, and you can use the three built-in roles or build your own with exactly the access you want.
Applies to: the Hapn web app at app.gethapn.com. Managing roles requires admin access.
The built-in roles
- Account Owner — reserved for the owner of the account.
- Admin — can do any action available.
- Collaborator — can monitor devices and events and access reports.
Built-in roles can't be edited or deleted. If Collaborator is close to what you want but not quite, create a custom role instead.
See who has which role
- Go to Settings → Team.
- The Active Users tab lists everyone with their email and role. Search by name or email to find someone quickly.
- The Invitations tab shows people who have been invited but haven't joined yet.
- The Roles tab lists every role with how many people currently hold it.
Use Invite User to add someone new.
Create a custom role
- Go to Settings → Team → Roles.
- Select Create Role.
- Give the role a name — something that describes the job, like Dispatcher or Yard Manager.
- Set the access level for each area of Hapn (see below).
- Select Save.
To change one later, select the role on the Roles tab and edit it the same way. Custom roles show a CUSTOM tag; built-in ones show BUILT-IN.
What you can control
Each area is set independently, so a role can have full control of one part of Hapn and none of another. The areas are:
- Time Machine/History
- Asset and Tracker Management
- Live Links
- Places
- Alerts
- Issues
- Maintenance
- Reporting
- Users
- User Platform Settings
- User Groups
- Billing
Most areas offer three levels:
- Full Access — can view and change.
- View Only — can see it, but not change it.
- No Access — the area is not available to them.
A few areas are simpler and are only on or off.
A dispatcher, for example, might get Full Access to Live Links so they can share vehicle locations with customers, Access to Time Machine/History so they can check where a vehicle has been, and No Access to Billing.
Roles and user groups are different things
These two settings answer different questions, and most accounts use both:
- Role (Settings → Team) — what someone can do.
- User group (Settings → User Groups) — which trackers and places they can see.
Give a subcontractor a limited role so they can't change your account, and put them in a group so they only see their own equipment.
